Membership
Membership Subscriptions
Members agree to be bound by the constitution and contractual conditions of the Tauranga Business Chamber and the following terms and conditions:
- Annual subscription payments are based on the tier chosen by the member (except where for-profit entities are ineligible to be on the non-for-profit tier).
- Resignations must be in writing within four weeks of the annual anniversary date. Members resigning after this period are liable for subscriptions for that year. Members are liable for any costs incurred by Tauranga Business Chamber in recovering payment of outstanding accounts.
- All information held on databases relating to this membership is confidential and shall only be used by Tauranga Business Chamber, in accordance with the Chamber’s Privacy Statement and the Privacy Act.
- As part of your membership benefits, your business name, physical address, phone, website and business description will be added to our publicly accessible Member Directory on our website. Notify us if you do not wish your business to be publicly listed.
- Tauranga Business Chamber has the right to decline membership. This application is subject to approval by the Tauranga Business Chamber Board.
New Member Payment is Required
Within 7 days of signing the membership agreement by:
- Online to Chamber of Commerce Tauranga Region Inc, Westpac 03-0435-0461762-000
- Credit Card payments – which can be accessed via the payment link on the invoice (credit card fees will apply)
Existing Members
By the 20th of the month following invoice by:
- Direct debit to Chamber of Commerce Tauranga Region Inc, Westpac 03-0435-0461762-000
- Credit Card payments can be made via the payment link found on the invoice (credit card fees will apply)
Staggered Payment Schedule Terms and Conditions
Tauranga Business Chamber recognises that membership should be accessible for all business and has a mechanism in place to support full payment of membership fees. Tauranga Business Chamber partners with trusted third party services (such as Smart AR) to quickly and safely set up monthly direct debit payments. If applicable, the member will agree to the separate terms and conditions of these services to enable this service.
Late Payments and Consequences:
a) Late payments may lead to membership cancellation.
b) Unfortunately, no refunds will be offered for payments already made.
Events and Trainings
Requirements of Attendees
All attendees to Chamber run events and trainings are required to listen and adhere to all health and safety briefings, and in the case of an emergency – follow all host emergency procedures (instructed or displayed in the premises). Attendees that see H&S risks or hazards at Chamber-run events are required to notify either the host or Chamber employees to address.
Photos, Videos, and Information
Photographs and videos of attendees at Tauranga Business Chamber events may be used in promotional material, published on the Chamber’s communications channels or assets (including website and/or social media). Event photo/video footage may also be shared with the event hosts/partners/sponsors and/or local media outlets for use in their communication channels.
It is the attendees’ responsibility to notify Chamber employees if you do not wish to be included.
For Chamber networking events, such as Business After 5’s (BA5) or breakfasts, and other hosted or sponsored events, attendee registration details will be shared with the event host/sponsor. By entering your business cards into prize draws, you agree for your cards to be shared with the event host/sponsors of that particular event.
Cancellation, Transfer, and Refund Policy
Refunds for cancellations will only occur if the attendee notifies in writing before 10am the day before the event. Any cancellation and/or changes must be made in writing to events@tauranga.org.nz. Cancellations after this time or non-attendance will require payment, however substitutions are welcome.
In many cases, there are a maximum number of attendees allowed and we may have waiting lists of other members who wish to attend.
Events where members have complementary access to register, but an individual fails to show for 2 or more successive events, they will be issued with a warning by Chamber staff. If the member continues to register for complementary events but fails to attend, the member can be fined at the event’s non-member price at the discretion of the Chamber staff.
Should an event or training fail to attract the minimum number of participants; we reserve the right to provide an alternative online option for delivery where appropriate, given the content and style of presentation. Otherwise, the event will be cancelled and refunds will be processed where relevant.
Tauranga Business Chamber reserves the right to add, reschedule or substitute speakers and/or vary advertised programs, prices and venues. If the advertised guest speaker is unable to attend, and is substituted with a suitable alternative guest speaker, the event will be deemed to have occurred, and attendees will not be entitled to refunds. Examples include late availability changes to Government ministers or officials, or other senior leaders.
IMPORTANT NOTES:
If you or your business receive funding from Regional Business Partner (RBP) Management Capability Development Fund for attendance at any of our professional development training programmes and you fail to attend that workshop/course, you will be liable for 100% of the advertised investment fee in accordance with RBP requirements.
General Event Terms
Tauranga Business Chamber shall not be liable for any delay or failure to perform any of its obligations if the delay or failure results from events or circumstances outside its reasonable control, including but not limited to acts of God, pandemics, accidents, fire, breakdown of plant or machinery. The Chamber shall be entitled to a reasonable extension of its obligations.
Tauranga Business Chamber holds no responsibility for externally run events hosted by third parties advertised through the Chamber’s channels. Registering for these events abide by the terms and conditions of the third party. Please visit their website for their terms and conditions.
Media Consent
Tauranga Business Chamber regularly takes photos and videos of our members and guests to be used for:
- Our marketing and promotional purposes including but not limited to: website, brochures, social media, invitations, posters, newsletters, annual report, and sponsors’ reports
- To share with the sponsors who help to fund our programmes for their own marketing purposes (so they can tell people the good they are doing in the community)
- Media / press releases.
If you do not wish to be included in any photos and videos please add a note in the “comments” when registering online or email CEO, Tauranga Business Chamber.
NOTE: A Media Consent Form or other equivalent online format is required to be signed by school/teacher or a parent on behalf of all minors before any photo or video will be used for any of the above.
Chamber Room & Venue Hire
Tentative bookings: Will be held on a first option basis indefinitely. If another booking requests the space then we will contact you to ask for immediate confirmation. Your booking will be confirmed when we receive payment of 50% of the fee.
Equipment: All room equipment is included in the quoted price. Chamber has best endeavours to ensure the room equipment is in good working order, and staff will do their best to advise the room hire prior to the event.
Food and beverages. Chilled water is included. Tauranga Business Chamber can arrange tea, coffee and any catering on your behalf (additional charges apply), or you are welcome to arrange your own. As the Chamber does not hold any liquor licences, hirers cannot serve or sell alcohol.
Room Hire Cancellations:
All cancellations must be received in writing (email) prior to 24-hours before the booking starts. If the cancellation is provided less than 24-hours of the booking, or there is a no-show, the hirer agrees to pay 100% of the agreed booking price.
Health & Safety. A Tauranga Business Chamber staff member will provide the hirer with a site induction and health and safety briefing on arrival. It is important to note that the hirer will be responsible for signing in (and out) all their guests as well as being responsible for their guests while on the premises. In the event of an emergency, Tauranga Business Chamber’s emergency procedures will take over, and our staff will be available to help with any issues during your hire. Any incident, accident and/or near misses are to be immediately notified to a Tauranga Business Chamber staff member.
Insurance. While Tauranga Business Chamber will take all necessary care, they will not accept responsibility for the loss of any property left at our room hire premises prior to, during or after the event unless specific arrangements have been made with the Tauranga Chamber CEO. The hirer is responsible for any physical damage sustained by them or any of their guests beyond fair and reasonable.
Out of Hours: If your hire is outside normal business hours (8.30am – 5pm) a surcharge of $250 will apply to cover a staff member attending site afterhours. This will be discussed with you at the time of booking, which requires two weeks notice and must be approved by CEO Tauranga Business Chamber.
Privacy Policy
This privacy policy sets out how the Tauranga Business Chamber we gather, store, use and disseminate any personal information we collect from you.
This includes membership details, event bookings, surveys, websites, and newsletter sign-ups. The information you provide us through these channels will only ever be used by the Tauranga Business Chamber and, in limited instances, passed on to event hosts (see above), and our alliance partners (see “Special Relationships”).
Tauranga Business Chamber may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes.
We may collect the following information
Name and job title, contact information (including email address and business location), demographic information such as preferences and interests, other information relevant to customer surveys and/or offers. We require this information to understand your needs and provide you with a better service. We are committed to ensuring that your information is secure.
If you register for events or otherwise engage with our services, you agree for your email to be added to our newsletter list, where you have the option to unsubscribe at any time.
In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online. Any private information held by third parties is regularly assessed by us to ensure that appropriate data protection mitigations are in place to protect against loss, misuse and alteration of your private information.
Tauranga Business Chamber will only collect your information where it is lawful, fair and necessary for the function of our business. This includes, but is not limited to, membership applications, event bookings, newsletter sign-ups, surveys and payments, or otherwise included in the above terms and conditions.

- From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, or mail.
How we use Cookies:
Cookies are small text files that are placed in your browser by the websites you visit. They are widely used to help users navigate websites efficiently, to perform certain functions on the sites, and/or to provide site owners with information about how their sites are used.
We use cookies on our site where they are required for particular features to work – for example, if you are logged into your member profile, to allow you to remain logged in while you complete certain tasks.
We also use tracking cookies with Google Analytics to analyse non-identifiable web traffic data to improve our services. This data is aggregated and cannot personally identify you.
You can opt-out of having your site activity available to Google Analytics by installing the Google Analytics opt-out browser add-on. The add-on prevents the Google Analytics JavaScript (gtag.js, analytics.js) that is running on websites from sharing information with Google Analytics about visit activity.
Using the Google Analytics opt-out browser add-on will not prevent site owners from using other tools to measure site analytics. It does not prevent data from being sent to the website itself or in other ways to web analytics services.
Membership
Information collected by us, through this website, includes application forms. These forms require you to submit contact information (such as your name, email, postal address, business size and sector, as well as contact details for staff within your organisation).
The purpose of collecting this information from you is to allow you full access to our services and communications and to inform an effective database to support the function of the Tauranga Business Chamber.
This information will be held in our CRM (Outreach) and enables us to deliver member support services and marketing communications to our members. This information will not be passed on to any unauthorised party unless you consent for us to do so.

Event Bookings
This site also has event booking forms (via our CRM Outreach) that require you to submit contact information (such as your name, email and postal address). This information will only be used in relation to the purpose for which you provided it – attending events. It will be used to contact event attendees prior to the event, obtain event requirements, and post-event communications and feedback. Attendees contact information may also be shared with the hosts or sponsors of an event for post-event communications, and entered into the Chamber’s newsletter sign-up to keep you informed about similar events and opportunities through Tauranga Business Chamber.
Newsletter sign-up
This site has sign-up forms for newsletters, which are delivered through a third-party application (MailChimp). This sign-up requires you to submit contact information (such as your name, email and postal address). This information will be used by Tauranga Business Chamber to provide regular communications from both the Tauranga Business Chamber and its sub-networks (BWN, LINKT, SBT).

Surveys
This site sometimes contains online surveys (or links to third party survey services) requesting contact information (such as your name, email, and postal address). Your details will be used only for the reason stated in the survey, for example if there is a prize draw. The member’s contact information may also be used to contact the member, if required.
Payments
This site requires payment details for both events and membership. Tauranga Business Chamber staff do not have access to any saved payment details, unless it involves agreed direct debits authorisations.
Tauranga Business Chamber also uses reputable third-party payment platforms, such as Stripe, Smart AR, and Poli Payments, for point-of-purchase payments and direct debits. Private information submitted through these third-party payment platforms are bound by their respective terms and conditions.
Tauranga Business Chamber’s accounting software is Xero. No credit card details are stored within Xero.
Other account information, including company, contact details, and bank information to enable authorised direct debit payments, is stored within Xero. There are very strict limitations on who can access personal information within Xero.

Special Relationships
If you are a member of Tauranga Business Chamber, the organisation may provide your contact details to Alliance Partners and other Chambers of Commerce within the New Zealand Chamber of Commerce network, to ensure you can access the full benefits from your membership.
If Tauranga Business Chamber does, it will ensure that Alliance Partners and fellow Chambers keep your information safe and secure, and that information is used for its intended purpose.
Your details will not be divulged to any other third party, such as other Chamber members or local and national media, without your prior permission. As per the Privacy Act 2020, please advise if you wish your details to remain private.
